Privacy notice for portal users

This notice is for people who use an ImmPortal client portal, such as yourfirm.immportal.com, to share forms and documents with their immigration firm, and for visitors to this page.
Your firm is responsible for your information
Your portal belongs to the immigration firm or consultant you work with. The firm decides what it asks you for, who in the firm can see it and how long it is kept. In data-protection terms the firm is the controller of your information.
ImmCase Digital Solutions Ltd provides the software the firm uses, ImmCase, and the portal that comes with it. We store and process your information only on the firm’s instructions and to run the service, never for our own purposes.
What the portal holds
- Your account: your name, email address and password, which is stored hashed and never in readable form.
- What you give your firm through the portal: forms, answers and documents.
- Ordinary technical records, such as your IP address and the time of each request, which we keep to run and secure the service.
Where it is stored
On dedicated servers in Beauharnois, Quebec, Canada, in an OVHcloud facility. Each firm has its own separate database. We do not sell your information, use it for advertising, or use it to train artificial-intelligence models.
Seeing, correcting or deleting your information
Ask your firm. It holds your records and decides what happens to them; we help the firm respond, but we cannot change its records on our own. If you cannot reach your firm, write to us at privacy@immcase.com with the firm’s name and we will pass your request on.
This page
The firm search on immportal.com runs in your browser: what you type is not sent to us or anyone else. Your language choice is remembered in your browser. The page loads its fonts from Google Fonts, which receives your IP address. There are no analytics or advertising cookies.

The ImmCase Privacy Policy covers the service in full, including security and retention. The Data Processing Agreement sets out what we do for your firm as its service provider.
